What is Purchase order by FTP?

With the Action 'Purchase order by email', you can automatically and instantly forward your incoming orders to your suppliers. You can fully customize the email and enrich it with order and product data. It is even possible to add the packing slip in the attachment.

We can create the following files: .XML / .CSV and .XLSX

Things to know

Here are some key things you should know about Purchase order by email.

  • Before this will work, you need to create a Rule to determine which products should be ordered at that Supplier.

  • When you use Test mode,


  • The email will be sent directly to your Supplier. It is good to test it with your own email address first.

Configure Purchase order by email

To configure this action, follow these steps.

  1. In the menu, click Suppliers

  2. Click New Supplier.

  3. At Name, enter the name of your supplier.

  4. Select Place file on FTP server.

  5. Click on Save.

  6. Now you will se the following screen:

  7. Fill in the following fields:
    To → This is the email address of your supplier. They will receive the purchase email on this email adress.

    BCC → You can send a BCC of the purchase order to someone else, or to yourself.

    Subject → This is the subject of the email. You can include variables in the subject, which we will cover later in this article.

  8. You can include a packing slip in the attachment. More information about packing slip can be found in this article.

  9. Edit the message of your email. You can include different product and order variables in the message. More information about variables can be found in this article.

  10. Click Save.

Your email is now saved. You can preview the email, our you can place a test order on your webshop. Make sure you have created a Rule to determine which products should be ordered at that Supplier.
