Review and approve held orders

Check a supplier order that Dropday holds for your review, change it if needed, and approve or decline it.

When a supplier has Hold order for review turned on, Dropday holds that supplier's order lines instead of sending them. They wait with the status Pending for review until you approve or decline the order. Send orders automatically or after review explains the setting.

Review a held order

  1. Go to Orders and open the order.

  2. Under Supplier orders, click Review next to a supplier that is held, or click the supplier's name. This opens that supplier's order.

  3. Check its order lines and the shipping address. Order lines that wait for you show Pending for review. If something needs to change, change it first, as described below.

  4. At the bottom of the screen, click Approve order or Decline order. You can add a note with either choice.

Approve order and Decline order cover only the lines of the supplier whose order is open. When the order has held lines for another supplier, they stay held until you open that supplier's order and approve or decline them there.

Change the order before you approve it

Changes to order lines apply only to the supplier's order you have open, and a product you add is added to that supplier.

  • Change a quantity: open the product row, click Edit next to Product details, change Quantity and click Save.

  • Remove a line: open the product row and click Delete on the Product details heading. The line is kept for reference but marked as deleted.

  • Add a product: click + Add product at the bottom left, search for the product by name, SKU or EAN, choose it, set the Quantity and click Add to order.

  • Change the shipping address: click Edit in the Shipping section, change the address and click Save.

The shipping address is one address for the whole order, not one per supplier. When you change it on a supplier's order, Dropday stores it on the order, and every supplier you approve after that receives the new address.

What happens next

  • Approved: Dropday sends the approved order lines through the supplier's delivery methods. Each line's status then shows the result, for example Forwarded when the send succeeded or Failed when a delivery method didn't succeed.

If a line shows Failed, A send to a supplier failed helps you find out why.

  • Declined: nothing is sent to the supplier, and the order lines show Declined. An order with declined lines can't be resent.

Approving doesn't update the order's status in your webshop. When Dropday forwards an approved order, it sends a supplier_order.created webhook with the supplier details and your webshop's order ID. Set up order and tracking webhooks explains how to receive it.
