Send orders automatically or after review
Choose for each supplier whether Dropday sends its orders as soon as they come in, or holds them until you approve them.
Decide how each supplier gets its orders
Automatically: when an order comes in, Dropday sends the supplier the order lines assigned to it without waiting for you, through each of its active delivery methods. This is what happens unless you turn on Hold order for review.
After review: with Hold order for review on, Dropday holds the supplier's order lines instead of sending them. Nothing reaches the supplier until you approve.
The setting is per supplier. When an order has lines for several suppliers, the lines for suppliers that don't hold orders are sent, and only the lines for a supplier that holds orders wait for you.
Either way, a supplier only receives the order lines that your rules assign to it, and a supplier without an active delivery method receives nothing.
Turn review on or off for a supplier
When you add a supplier under Suppliers, turn on Hold order for review before you save.
To change it for a supplier you already added:
In the sidebar, click Suppliers.
Click View on the supplier.
Check or uncheck Hold order for review, then click Save.
Hold only some products or orders
A rule can't hold an order by itself. It only chooses the supplier.
To hold one product or one kind of order, route those lines to a supplier that has Hold order for review turned on. A rule's conditions can match a product (such as its name, SKU, brand, category or label) or an order field.
Lines that a rule assigns to a supplier without that setting are sent immediately.
What happens when you turn review on or off
When you turn it on: Dropday holds this supplier's order lines instead of sending them. They wait with the status Pending for review until you approve or decline the order.
When you turn it off: order lines that are already held aren't sent. They stay Pending for review until you open the supplier's order under Supplier orders and click Approve order there, or decline it.
Orders that come in after that are no longer held: Dropday sends this supplier its order lines through each of its active delivery methods, like any supplier that doesn't hold orders.
Approve or decline held orders
You approve or decline held orders on the supplier's order: open the order, click Review or the supplier's name under Supplier orders, and click Approve order or Decline order at the bottom of the screen. This covers only that supplier's lines. Approving sends the held order lines through the supplier's delivery methods; declining sends nothing to the supplier.
Dropday doesn't email or otherwise notify your team when an order is held. Held lines show in the orders list under Pending for review, and each held supplier has a Review button on the order.
Review and approve held orders takes you through it step by step.
Choose when orders go out
Dropday has no schedule for sending a supplier's orders at a fixed time or interval. To decide yourself when they go out, hold them for review and approve them by hand when it suits you, for example a few times a day. Each approved order is still sent to the supplier separately, not combined with other orders into one file.
Next, create a rule that assigns order lines to this supplier.
